About This Template
This process mapping template helps you document and visualise your key business processes. Use it to identify bottlenecks, clarify responsibilities, and find opportunities for improvement.
How to Use This Template
Step 1: Choose a Process
Start with a process that's causing problems or is critical to your operations. Good candidates include:
- Customer onboarding
- Order fulfilment
- Invoice processing
- New employee setup
- Project delivery
Step 2: Define the Scope
Clearly define where the process starts and ends. For example, "customer onboarding" might start when a contract is signed and end when the customer is actively using your service.
Step 3: List the Steps
Walk through the process from start to finish, listing each step. Include:
- What action is taken
- Who is responsible
- What inputs are needed
- What outputs are produced
- How long the step typically takes
Step 4: Identify Decision Points
Mark places where the process can branch based on different conditions. For each decision point, document what determines which path is taken.
Step 5: Note Pain Points
As you map the process, note areas where things frequently go wrong, take too long, or cause frustration. These are your improvement opportunities.
Tips for Effective Process Mapping
- Involve the people who do the work: They know the real process, not just the official one.
- Map the current state first: Understand how things actually work before redesigning.
- Keep it simple: Start with the main flow before adding exceptions and edge cases.
- Use consistent notation: Rectangles for actions, diamonds for decisions, ovals for start/end.
- Review and validate: Walk through the map with stakeholders to ensure accuracy.
